Transcript costs and ordering

HOW TO APPLY
Please note: Any orders received after Sunday 8 December 2024 may not be able to be processed until mid-January 2025. 

 

All students who graduate after 25 July 2018 will automatically receive a free digital transcript and testamur (qualification certificate) upon conferral (legal awarding by UC Council of the qualification). If your qualification has not yet been conferred, or you graduated prior to 25 July 2018, you will need to order and pay for your transcript according to the costs below.

Please allow 10 working days for your order to be processed.

*Additional paper copies within the same order will be charged NZD $20.00 each. 

** If required, an additional NZ Domestic courier fee (NZD $5.50) or an overseas courier fee (NZD $75.00) will be charged for each order.

Official transcripts cannot be released or uploaded to My eQuals until payment is confirmed.

An official record or official letter cannot be issued if a student has outstanding fees or charges, such as:

  • Health Centre fees
  • Library fines
  • Tuition fees
  • Accommodation fees.

 

Your request will not be processed until the account is cleared with Financial Services (phone: +64 3 369 3431 ext. 93431). Once any outstanding fees or charges are paid, please email Academic Records including your full name and your order number if applicable.

Please allow a minimum of 10 working days (Monday - Friday) for your order to be processed.

Please note that this is guideline only; during busy times (i.e. immediately after grade release) it will take longer to process orders.

If you ordered a digital document (which is much quicker to obtain than a physical version) you will receive an email notification from My eQuals advising when your document(s) have been issued.  The email will be sent to your permanent personal email address (not to your UC email address). 

Do not set up a My eQuals account until such time as you receive an email from My eQuals with the link to set up your account.  Please note that the email notification is frequently diverted automatically to spam/junk mail - please check these first if you are waiting for digital documents.

If you have ordered a physical, paper copy of the transcript/letter, this will be posted/couriered to you, depending on the option you have paid for.  This will take longer to arrive than a digital version.  Please note that we are not able to courier documents to PO Boxes - we require a physical address for courier orders.  If your order is to be sent out by courier you must include a phone number in your order details.

If you have ordered a physical hard-copy (paper) format and want it to be posted to a third party, then you must email Academic Records to give authorisation, clearly stating:

  • Your full name
  • Your student ID number
  • The person to whom the document(s) should be posted and the reason why you require the document(s) posted to a third party.

Please read the following information before placing an order:
 
  • ONLY ORDER ONE COPY OF YOUR DIGITAL TRANSCRIPT AND/OR LETTER - we can only provide one copy.
  • We can only accept payment made online using a credit or debit card at the time you place your order. If you have questions or concerns about this, please email Academic Records or call +64 3 369 5508.
  • A physical paper order, once processed, will be posted to the address in the order form.  Please use the comments section to advise us if your permanent address has changed to the one we may hold for you in our student system and we will update that information as well.  Please note: As a result of Covid-19 physical paper orders, once processed, cannot be collected from the University.
  • If you require your physical transcript/letter sent to an address that is different to your billing address, please use the comments section to indicate this and provide the full address (including the postcode) you need the documents sent to.
  • If you are unsure of how to use the new form, please email Academic Records before placing an order.

 

If you are experiencing problems with the form and find that you cannot add or remove items from your cart, please try using another browser (Chrome works best, do not use Internet Explorer). If you try a different browser and are still having problems, please call +64 3 369 5508 or email Academic Records and DO NOT COMPLETE OR PAY FOR YOUR ORDER.
