Qualtrics Survey Support

Many UC academics and students do surveys with Qualtrics for their research. This is the perfect software to support data gathering. It enables agile and tailored data collection. From access to troubleshooting, check out the Qualtrics Survey Support available.

HOW TO APPLY
Making a Qualtrics Account 

Any UC staff member or student with a @canterbury.ac.nz, @uclive.ac.nz, or @pg.canterbury.ac.nz email address can create a UC Qualtrics account free of charge.

  • Go to https://canterbury.qualtrics.com/ (opens new tab). 
    • You must use this link to create a UC-affiliated account. DO NOT use generic Qualtrics.com
  •  You'll see a login box and a link that says "Don’t have an account?”
  • Once you have done this, follow the account creation process. You will receive a verification email, and you can then begin using the survey tool.

If you are ever asked to purchase more functionalities, you likely made a free account on Qualtrics.com; please see Account Troubleshooting below for solutions.

Please note: UC's Qualtrics license is not permitted to be used for commercial purposes. If you have any questions, please reach out to surveys@canterbury.ac.nz.

Important!

Qualtrics as a company offers various various paid services for research or panel recruitment.

These are not included in UC's Qualtrics License. You may be responsible for any costs incurred.

You must obtain explicit approval from authorised parties before purchasing any products or services.

Qualtrics Support, in the form of their "XM Basecamp," offers comprehensive guides covering basic and advanced features. The advantage of these resources is that you can watch them anywhere, anytime, and skip through to the most relevant parts.

Start with “Building a Survey Project,” and  “Planning and Designing a Survey.” A more advanced learning module that is beneficial for academic research is “Applying Best Practices in Questionnaire Design.”

We’re glad you’re using one of the best survey platforms in the world to conduct your research! The single best piece of advice we can offer is to test your survey before distribution. We have encountered many sad and frustrated researchers who deploy a survey before it is ready. Test your survey yourself, with your peers, and if you have no one else, feel free to email surveys@canterbury.ac.nz if you want a second pair of eyes to check it over. You might only get one chance to collect your data, so ensure your data collection is as good as possible! 

Qualtrics has a great function which will generate “dummy” responses to your survey. Generate any number of responses, export the test data, and investigate it. Have you designed your survey to capture data in the formats you need for your subsequent analysis?  

For example, maybe you set up the survey question to capture categorical data, but perhaps you realise you need continuous data (e.g., age bands, versus age as a continuous variable).

Note: when you test this out, ensure you are using your actual survey link. Using the Preview Survey link will result in a message that says you are not authorised to view that survey; this is because of the “referral website URL” setting you will have set up.

UC Qualtrics accounts are automatically disabled when a year has passed without logging in. Your surveys and data are always saved, but you will need to email surveys@canterbury.ac.nz to re-enable your account.

To ensure you always have access to your data, before you graduate, we advise downloading the survey and response data (assuming you have permission to do so) and storing them on secure servers. 

Once you have left UC you should not be actively collecting new survey data using UC Qualtrics. We never delete UC Qualtrics accounts, but if they are not logged in for over a year, they are disabled. If you attempt to log in and find your account is disabled, email surveys@canterbury.ac.nz to re-enable your account. We will check for an active student enrolment and can re-enable the account.

Account Troubleshooting

If you are experiencing limitations or have been prompted to purchase survey functionalities on your Qualtrics account, it is likely that you have accidentally created a free trial account on Qualtrics.com instead of using the UC licensed Qualtrics platform. Please note that UC can only provide administrative support for accounts created through the UC licensed Qualtrics Software.

 

How do I make sure I’ve created my account under UC’s Qualtrics license?

Once you are logged into your Qualtrics account, select the account icon in the top right corner. Beneath your name, it will say where your account is affiliated; if it says the University of Canterbury, your account is within the UC Qualtrics license. If it says Qualtrics Sharing or QTrial, this indicates your account was made as a free account on a generic Qualtrics webpage and is not affiliated with UC.

We will not be able to increase permissions, and we do not recommend surveying from this free account, as you will have issues extracting data and sending out multiple survey mailings.

 

What should I do if I accidentally created an account on Qualtrics.com, and it’s not affiliated with UC?

If you created a free Qualtrics account on Qualtrics.com, we cannot increase permissions or provide access to features that you would have under the UC Qualtrics license. You will need to initiate a User Move by contacting Qualtrics 24/7 Support by logging in at https://www.qualtrics.com/support/. Unfortunately, we cannot request a User Move on your behalf. 

Please then contact UC Qualtrics system administrators at surveys@canterbury.ac.nz as Qualtrics needs to verify your right to access the UC licence.

A Qualtrics User Move can take anywhere from a few days, to several weeks, so we recommend initiating this process as soon as possible, as we cannot speed up this process at UC’s end.
