SharePoint (Vault)
UC provides storage via SharePoint sites created using UC’s self-service Wizard. UC refers to SharePoint sites created using the Wizard as at UC is referred to as the ‘Vault’. The Vault is a UC managed storage area suitable for research data. Data is stored on Australian servers (there is Microsoft intention for data storage to reside in New Zealand, dates unknown). The Vault is File and Folders are saved in the Vault. ideal for collaborating with people outside of the University. In 2024 UC will enable Smart Guest management so UC staff can add external Guests to UC’s Guest Register rather than actioning via a Service Now Request. There are different access rights to files, folders, and libraries that Vault Site Administrators can self-manage (for example, read only and contribute). You can request Vault Site Administrator access via Service Now. The Vault enables you to synchronise files between your computer and the cloud, allowing you to access your files from any device, anywhere. You can access documents in the Vault from Windows Explorer, Microsoft Teams, and cloud SharePoint views. Research data saved to a Vault Site created using the Research Template has the UC Research Taxonomy applied. A Sensitive Research data Vault site is also available. Vault sites are connected to Microsoft Teams, which gives you access to chat and other Teams features related to collaboration and communication with team members given access to the Vault Site (note: files are not saved in MS Teams, Teams provides an access pathway to the UC Vault). As a Teams Workspace Owner, you self-manage who has access to the Team Workspace (inclusive of external guests). The maximum storage capacity via Vault site is 25TB, you can have more than one Vault site.
